When operations or finance asks me for an appliance opinion, I always start with the same question: which scenario are you in?
Not what brand it is. Not how much it costs. Because after five years of managing purchasing for a 120-person company—roughly $180,000 a year across 8 vendors, from Whirlpool washers for company housing to refrigerator compressor relays and yes, a waffle maker for the holiday party—I've learned that the right answer is almost never about the appliance itself. - Municipal water, 1–4 people: every 6–12 months. Most 10" x 4.5" whole-house cartridges are rated for 40,000–50,000 gallons. A typical household runs 200–300 gallons a day, so you land around six to nine months. Check your filter's spec sheet for exact capacity.
- Well water or visible sediment: every 3–6 months. Sediment clogs the media quickly. Once it clogs, pressure drops and unfiltered water can bypass the filter entirely. If your water has iron or silt, shorten the interval.
- High-occupancy building: quarterly. With 120 people drawing water from three restrooms and a break room, our office filter works essentially full-time. The flow rate at the taps told us when to change it.
Honestly, the habit matters more than the exact schedule. A $40 filter cartridge protects a $6,000 water heater from scale buildup that kills it years early.
